Commercial Exhibitors

Thank you for your interest in the San Joaquin County Fair. In order to maintain a balance of Commercial Exhibits, space is offered based on product or service, display, and the needs of the Fair, rather than date of application. If your application is accepted, a contract will be prepared and mailed to you. Please review your contract and meet all deadlines to avoid cancellation.

Food Concession Applicants

Once your application is received, it will be reviewed and placed in our files. We have a limited number of concession spaces available and most of our previous concessionaires are asked to return. However, it is always helpful for us to have a file of available concessionaires in the event someone cancels unexpectedly or we are able to make room for additional concessions, particularly if it is a new or unique product.

Before filling out your Commercial Exhibitors application, please review the following requirements for becoming a commercial exhibitor at the San Joaquin County Fair. After reviewing all the information, click on the link at the bottom of the page to print out an application.

Insurance
All exhibitors must provide evidence of insurance in the amount of $1,000,000. If you do not have insurance, you may purchase it through California Fairs Services Authority at a rate of $100.00. The Fair office can assist you in this.

Health Fee
If you are handing out edible samples to promote your product, you must indicate this on the application. You will be sent a Food Vendor Permit application and other information from the San Joaquin County Health Department. The application must be completed and returned to the Fair office along with the permit fee of $25.

Deposit
A 50% deposit is required with your application.

Show Hours
Outside vendors 12 noon to 11 p.m. Daily
Inside vendors 12 noon to 10 p.m. Daily

Booth Staffing
Your exhibit booth must be staffed at all times the Fair is open to the public. The exhibit is of no value to either you or Fairgoers if it is closed and not staffed. Exhibits found to be un-staffed will not be invited to return next year and may be asked to leave during the Fair if it is excessive. If asked to leave, your space fee is forfeited. Please be sure your staff is awake, chipper, and ready to sell at all times!

Move In
Monday, June 10 and Tuesday June 11, 8 a.m. to 8 p.m. All exhibits must be in place and completed by Tuesday night. Fair Office is open 8 a.m. to 8 p.m. to pick up vendor credentials.

Parking
Each exhibitor will receive 10 parking passes for the main lot (equals 2 vehicles per day). They are good any day, but do NOT allow in and out privileges.

Inside Parking
Inside parking is also available within the fairgrounds for $160.00 per space. This is an assigned space WITH in and out privileges. You must park in your assigned space. Vehicles not parked in assigned space will be towed. No other parking inside grounds will be permitted and owner will pay all charges.

Signs
Signs must be neat and professionally lettered. No hand lettered signs. Any signs not meeting these requirements must be removed. For indoor exhibitors, bring your company's banner, if you have one, and we'll hang it outside the building. If your sign does not meet quality standards, it may not be hung. Quality and location are Fair management decision only.

Prohibited Items
Exhibitors may not display or sell items considered to be obscene, related to drug use or inappropriate for a family event. Fair management's decision will be final. Exhibitors may not sell or distribute posters, T-shirts, or any other item relating to entertainers appearing at the San Joaquin County Fair, due to contractual agreements with the entertainers.

Evaluations
Commercial exhibit displays may be photographed and will be evaluated by Fair staff during regular exhibit hours. Evaluations may determine which exhibitors are invited to return. Evaluations will be based on the following:

  • Attractiveness of display
  • Neatness (clean and tidy)
  • Staffed during all exhibit hours
  • Compliance with rules, regulations and terms of contract
  • CANCELLATIONS
If an exhibitor finds it necessary to cancel the contract, a portion of the fees paid may be refunded. If the cancellation occurs 30 days or more prior to Fair opening day, 25% of the full exhibit fee will be retained by the Fair and the balance of the fees paid will be refunded. Within 30 days prior to opening day, there will be NO REFUND. (RV space, inside parking space, and other non-exhibit fees may be refunded in full if the cancellation is prior to opening day.) Refunds for late cancellations will be made within 30 days after conclusion of the Fair.
